Top 5 Reasons to Automate Your Business

When thinking business automation, most stop short with just the marketing activities and goals.

But marketing is just the tip of the iceberg!  What lies beneath the sale is an entire network of processes that need to happen to fulfill the promises of the sale, and keep your customers happy and coming back for more.

  • Accounting

  • Disputes / Chargebacks

  • Customer Support

  • Call Replays

  • Shipping

  • Help Desks

  • Coaching Calls

  • Social Media Interactions

  • etc.

You can save time and money by automating these efforts.

Here are the top 5 reasons why we recommend automation:

#1) You'd like to re-engage with your customers and increase repeat business.

When you get the sale, that's just the mid-point of the customer journey with you.  Now expectations need to be met, and promises must be upheld.  Doing this well, makes for a happy client.  A happy client not only sticks around and does repeat business, but they revel in their success with you and bring in referrals.

So why now WOW your customers at the point of sale, and then afterwards?

Why not make it easy for them to give you referrals, and setup processes for that to consistently repeat itself?

Simple processes like nurturing them with onboarding emails, birthday presents, anniversary notifications, etc, can speak volumes!  You don't have to do anything expensive either.  A quick integration with an Infusionsoft campaign and SendOutCards, for example, can get those birthday emails/gifts and anniversary notifications on auto-pilot for you, thus making you look like a super hero in your industry.

#2) You're spending way too much time in repetitive tasks.

Whether it's your Virtual Assistant (VA) doing the work for you, or you're a DIY kinda business owner, repetition is the easiest thing to automate!  Where there's a will, there's a way!

It's not always 100% automation, but you can reduce your repetitive processes significantly with some automation.  Think about your help desk.  Setup filters, and auto-assignments.  Take advantage of all the bells and whistles that come with the software.  Auto-Replies, automation that's linked to your CRM, CRM details that can be easily seen from the ticket center to help speed review time, etc.

What about your accounting records?  Most CRM/Automation programs fall short here.  They take your money and provide a quick glimpse of sales, but it's never complete, many times it's full of errors or glitches, and your CPA will pull their hair out.  Instead of pulling numbers manually and trying to manage cashflow sheets, integrate your CRM with Xero or QuickBooks.  When a sale comes in, you can "zap" it into a spreadsheet and have that spreadsheet set with a formula or macro to quickly pull out the cashflow information.

Do you have a task that requires a lot of copy/pasting?  We run into that one all the time with our clients.  Don't hesitate to search out fun Chrome extensions and add-ons to make your life easier.  One of our favorites is Text Blaze.  It's a text expander and saves us countless hours on projects.

Whatever your "repetition" consists of....do a little digging and get creative, and I can guarantee you a way to save countless hours of your time, or reduce your VA's billings.

#3) You're not generating enough high quality leads through your website.

One of the BIGGEST things we coach our clients on is having a website that is marketing worthy.  If you have a website and it looks pretty, but it's lacking an opt-in or clear messaging, you're losing out on leads.

More so, you need to drive traffic to that website to convert them.  This means social media postings, blog writing, facebook ads, etc.  And it has to be consistent!  Automate it!  Once or twice a month you can setup an entire "campaign" for your social media and have posts scheduled to hit.

Once those leads land on your site, you need to engage them.  Setting up opt-ins, pixels, and other forms of technology can help identify your return clients and use cross-promotional and other forms of AI to engage them with products they may not have heard of.  Get them to opt-in and get them on the list so you can talk to them via broadcasting, and then when you do your monthly "campaigns" you can also program your monthly newsletters to hit.

Pre-populate your blogs and have them scheduled to go live according to your "campaign" schedule.  Program nurturing sequences in your CRM so they coincide with the social posts and your blog posts.

Taking an afternoon one time a month to set all this up so it's on auto-pilot the entire month relieves you and your team from all the frustrations of being behind the eight ball.  Proactive processes lead to consistency, and consistency leads to more clients and happier tribe and team.

#4) You're not converting leads into customers.

This is a common one!  You can gather all the leads you want, but if you're not following up with them timely, and again here comes that "consistently" word, then  you're losing out.

You need to remain in front of your leads at all times.  Consistent emails and offers and points of contact is necessary.  This consistency will also reduce friction in your sales process and the customer journey will be much smoother.

This is all automated through a CRM like Infusionsoft or Active Campaign.  When they come into your CRM through your opt-in on your website, you setup a nurture sequence to stay in front of them.  Using a more robust system like Infusionsoft will allow you to automate the process so there's notifications of when you need to manually jump in.  Whether it's to make a call or attend an appointment, the more automation you make to get that to happen, the easier your life will be, and the more clients you'll have.

#5) Key repetitive tasks are not done timely.

We get it.  You've made promises that come with your program, and you have to ensure they're done timely or your existing customers get anxious and you start to lose credibility with them.  This can turn into attrition issues which can lead to a bad reputation.

Finding ways to ensure recordings are posted, and new content goes up quickly is vital.  Ensuring that call reminders are setup, events are setup, and any other promises you have out there are met.

Turn these few things into automation.  There are tools you can use that can get a "call" (API talk, here) so another software can pull data, and then automatically post it for you.

Maybe your accounting team is slow on getting you sales reports, or your ads team is slow at getting you numbers on how their ads are performing....automate, automate, automate.

This is why Zapier is the king of automation these days.  It can automate 85% of your goals.
